Who we are
Lexington Sports & Social Club ("LSSC", "we", "us") runs the leagues, events and website at lexingtonsocial.com. LSSC decides what information is collected and how it is used.
Our website, registration system and scheduling tools are built, hosted and maintained for us by Vorena AI, a DBA of Helmsworth LLC, a Kentucky company (vorena-ai.com). Vorena also stores the data collected through the site on our behalf. This policy covers both: what LSSC does with your information, and how Vorena handles it as our technology provider.
LSSC leagues and events are for adults. You must be at least 18 years old to create an account.
By using lexingtonsocial.com or registering for an LSSC league or event, you agree to this policy.
Information we collect
We collect only what we need to run leagues, schedule games and keep in touch with players.
- Account information: your first and last name, email address (which is also your login), password, gender and date of birth. We use your date of birth to confirm you are at least 18. Your password is stored in encrypted form, and no one at LSSC or Vorena can see it.
- League activity: the leagues, events, seasons and teams you join, whether you register as a free agent or through a captain's invitation, game schedules, standings, results, your registration history and any account credit on your account.
- Payments: when you pay for a registration, your card or bank details go directly to our payment processor. We see the amount, date and the last four digits of the card, but we do not store full card numbers.
- Messages: emails, form submissions and other messages you send us.
- Device and usage data: your browser, operating system, IP address, pages you visit and the times you visit, collected through cookies and similar tools. Cookies are small files your browser stores. You can block or delete them in your browser settings, though some parts of the site, such as staying logged in, may not work without them.
We do not collect your precise location, and we do not access your contacts, calendar or messages on your device.
How we use your information
We use your information to run your LSSC experience, and for nothing unrelated to it.
- Create and manage your account and registrations
- Build teams, schedules and standings, and let captains invite players to their teams
- Tell you about game cancellations, reschedules and other league updates by email
- Process payments and receipts, and track account credit
- Answer your questions and requests
- Send league news and upcoming season announcements (you can unsubscribe from these at any time using the link in each email)
- Keep the site secure, fix problems and understand how the site is used so we can improve it
- Meet our legal obligations
We do not sell your personal information, and we do not allow advertising companies to collect data through our site for ad targeting.
Vorena AI and our other service providers
Vorena AI builds, hosts and maintains lexingtonsocial.com and stores the data collected through it, working only on LSSC's instructions.
- Vorena uses your information only to operate, support, secure and improve the LSSC site and its scheduling and registration tools.
- Vorena does not sell your information, use it to market to you, or share it with anyone except as this policy allows.
- Only Vorena staff who need access to run or support the site can see your information. Vorena uses its own technology providers, such as cloud hosting, database, email delivery and error monitoring services, to run the site. They may only use your information to provide those services.
We also use a payment processor to handle registration payments. Your payment details are governed by that processor's own privacy policy as well as this one.
Every provider we or Vorena use is limited to working on our behalf and is expected to keep your information confidential and secure. Your information may be stored or processed on servers in the United States.
How we contact you. We contact you by email, including game cancellations and schedule changes. We do not send text messages.
When we share information
Outside the providers above, we share your information only in these situations:
- With your team and league: your name, team and results may appear on rosters, schedules and standings that other players can see. Your captain may see your contact details so they can reach you about games.
- Photos: we take photos at games and events and may post them on our website and social media pages. If you would like a photo of you taken down, email us and we will remove it.
- With your consent: when you ask us to, or agree to it.
- When the law requires it: to respond to a subpoena, court order or other legal process, or when we believe in good faith that disclosure is needed to protect the safety of players, the public, LSSC or Vorena.
- If LSSC changes hands: if LSSC is sold, merged or reorganized, your information may transfer to the new owner, who must follow this policy or tell you about any changes.
Where the law allows, we will try to tell you before your information is disclosed in these situations.
How long we keep your information
We keep your account information for as long as your account is open. This lets us keep your registration history and any account credit available for future leagues, since account credit does not expire.
If you ask us to delete your account, we delete your personal information within 30 days. We may keep a specific record longer only when the law requires it, such as payment records for tax purposes, or when we need it to resolve a dispute.
Security
We and Vorena take reasonable steps to protect your information. The site uses encrypted connections (HTTPS), access to stored data is limited to people who need it, and payment details are handled by our payment processor rather than stored by us. No system is perfectly secure, so we cannot guarantee that information will never be accessed without permission. If a breach affects your personal information, we will notify you as the law requires.
Age requirement
You must be at least 18 to create an LSSC account. We do not knowingly collect personal information from anyone under 18. If we learn that someone under 18 has created an account, we will delete it. If you believe this has happened, email us.
Your choices
- See or update your information: log in to your account, or email us for a copy of what we hold.
- Delete your information: email info@lexingtonsocial.com and we will delete your account and personal information within 30 days, apart from any record the law requires us to keep. Deleting your account also removes any unused account credit, which has no cash value.
- Stop marketing emails: use the unsubscribe link in any email. You will still get messages about leagues you are registered in.
- Cookies: block or clear them in your browser settings.
Our site does not currently respond to browser "Do Not Track" signals.
Changes to this policy
We may update this policy from time to time. The effective date at the top shows when it last changed. If we make a significant change, we will post a notice on the site and email registered players before it takes effect.
